Q. Who is Association Link and why is everyone always telling me to contact them for things?
A. Association Link is a community management company contracted by your Home Owners Association to act on their behalf in many situations. Association Link helps the HOA manage contracts, finances, enforce covenants, liaison with neighbors, and solve legal issues… just to name a few things. Q. Ok, I am new to this, why do we have a Home Owner’s Association (HOA)?
A. The Home Owners Association is made up of board members who are appointed/elected in your neighborhood. Their number one objective is to protect the value of your home by ensuring compliance with the neighborhood covenants. All decisions are made with the best interests of the residents in mind. A clean, well-kept neighborhood will keep the value of your property increasing over time. It’s an investment.
Q. I am moving into or out of Chastain Place. Is there anything I need to do?
A. Please make contact with our representatives at Association Link. They will make sure your address is updated to reflect your residency status. Official communications between the HOA and current residents/owner depends on good record keeping. Encourage your realtor/closing attorney to make sure your records are updated in the system.
Q. I just rented a home in Chastain Place. Is there anything I need to do?
A. We strongly recommend that you contact Association Link and provide them with your contact information and rental address. Official communications will only go to the homeowner. However, many problems can be avoided if they know you are a renter and which address you are associated with. They take that into account if there is a problem with your particular address.
Q. I don’t have a copy of the neighborhood covenants. How do I go about getting a copy?
A. The covenants are posted on this site under Community Information. Just follow the drop down to Documents and select Governing Documents. You can also click here. Your closing agent or attorney should have access to them when you purchase your home. Owners should provide them to renters. Not having the covenants does not make you any less responsible for covenant violations. It is your responsibility to know them when you buy or rent in the neighborhood. It’s important to know that the website is password protected and you will need to get the password in order to access the governing documents and associated financial statements.
Q. How do I find out how my Association Fees are being spent? I want to make some recommendations on neighborhood improvements.
A. Every year there is a neighborhood Town Hall in January or February. The previous year’s financials are discussed. Typically, one of the board members will make notes available to those who can’t attend. You are also welcomed to contact Association Link. From this website, navigate to Community Information from the main menu, select Documents, then select Financial Reports. To request a change, contact Association Link. They will accept your idea and put in front of the board for a vote. Another great way to get involved is through one of the various neighborhood committees. Committee members work together to solve issues and recommend solutions to the board. The board will vote on committee resolutions and help fund committee chaired projects. It’s also a great way to meet your neighbors.
Q. I want to make an addition or modification to my existing property. How do I proceed?
A. Please complete the form on this site; select ACC Requests from the My Account dropdown menu. Association Link will pass it to the Architectural Control Committee. The Architectural Control Committee will make a recommendation to the board. This process only takes a few days, and is really quick if the request isn’t complicated. If you make an addition/modification to your property without approval, you could be fined and/or responsible for returning your property to its pre-modification or pre-addition state at your own cost. Please review your covenants carefully before modifying or adding to your property.
Q. Is Facebook a good place to get Community information?
A. It can be, but please don’t expect official communications in the Facebook forum. Some board members will respond to posts on Facebook, but generally they are speaking as a neighbor and not as a board member. They are offering you information. Anything official must come through Association Link. Board members are neighbors first but will sometimes try to help you understand something or assist you with navigating towards a solution.
Q. When does the pool Open/Close?
A. The pool officially opens each year on May 4th and closes on 30 September. Unofficially, we may open the pool earlier or close later depending on weather. Above average temperatures could cause the board to open the pool in April or close the pool in October. When it’s open, the pool hours are from 8am-9pm Sunday through Thursday and 8am-10pm Friday and Saturday.
Q. I am moving into Chastain Place. How do I get access to the pool?
A. Please visit the Association Link office. They will assign you a pool FOB and ensure you are registered in the system. It can take up to 24 hours to gain access so please be patient. Also, if you pick up your FOB on a Friday, it may not be activated until Monday.
Q. I am moving out of Chastain Place. What do I do with my pool FOB?
A. Your pool FOB is registered to you by the Association Link office. Once assigned, it is registered to you in the security system. It is very important that you turn in your FOB to the Association Link office when you move out. We do not recommend you transfer it directly to a renter or a new homeowner. You can also put a post in the Facebook forum. A board member may be able to save you a trip and take your FOB from you.
Q. I just went to the pool and my FOB is not working.
A. Please contact Association Link. Pool FOBs are turned off if your Association Fees are not paid. If you are a renter, don’t assume the homeowner paid on time or paid at all. To avoid unnecessary delays, please pay your Association Fees on time. Late payment on your part does not constitute an emergency on Association Link’s part. If Association Link is closed, you can also post a message to the community Facebook pages. Board members often monitor that forum and may reach out to you to offer assistance. You can also send us an email through this website.
Q. I lost my pool FOB, what should I do?
A. Please report your lost pool FOB to Association Link as soon as possible. A lost FOB will be turned off and you can purchase a new one for $35.00 from Association Link. If you end up finding your old FOB later, part of the cost will be refunded to you.
Q. How do I get an additional pool FOB.
A. Unfortunately, pool FOBs are assigned to an address, not to individuals. Each address is limited to one FOB. We recommend attaching your pool FOB to your pool bag or keeping it in a common location so it’s always accessible to your family.
